Privacy and Cookie Policy

We are committed to protecting your privacy and personal data. In short, we use all data collected responsibly, and we will not share your data or personal details with any third party, unless required to by law. The document below explains our Privacy Policy in detail.

Information we collect 

In order to provide our services to you, a certain amount of information is required. We will only collect information necessary to fulfil our services. 

1. Contact details 

If you submit a question or request for information via email or our contact form, you will need to provide your name and email address. Your name and email address are also required if you choose to subscribe to our mailing list and blog. 

If you choose to make use of our paid physiotherapy services, you will need to provide your personal contact information. This may include your name, billing address, phone number, Skype name and email. You may also need to provide payment information. All payments are process on the PayPal website. We do not ask for or store any bank account or card details on our website. 

We may use Skype for video consultations. All Skype communications are encrypted. You will be required to provide some personal information to Skype to register an account. Skype is part of the Microsoft Company; please read their privacy policy for more information. 

We will not share any information we hold about you with any third party, unless specifically authorised by you or required to by law. 

2. Health information 

In order to provide a physiotherapy consultation and/or a customised treatment program, we are required to collect personal health information from you. Information may be collected by a voice and/or video call and/or online questionnaire. Information collected may include: 

  • Personal details such as name, age, gender, etc. 
  • Information regarding your current health care providers, such as GPs or consultants 
  • Relevant past medical history, underlying health conditions, medications, or disabilities 
  • Information regarding your current injury and/or symptoms 
  • Any other consultations attended or treatments you have received regarding your presenting injury or condition, including any medical investigations, x-rays, MRIs, etc. 
  • Any details regarding accidents, incidents or circumstances which may have caused or exacerbated your presenting condition 
  • Family medical history (if relevant) to your presenting condition 

We will not disclose any information about you with any third party, unless specifically authorised by you or required to by law. 

Use of your data and personal details 

1. Contact information  

Your contact information will be used only for the purposes of providing our services to you. 

2. Health information 

We may use your health information for the following purposes: 

  • To provide a diagnosis, recommend a treatment plan and/or provide further treatment options. 
  • To comply with requirements of professional bodies, including the Chartered Society of Physiotherapy and the Health and Care Professions Council (HCPC) 
  • Your health information may be anonymously used to assist clinical audits to evaluate the effectiveness of and improve our services. 
  • To respond to complaints made by you 
  • To cooperate with our liability insurers in the event of a potential or actual claim against us by you 
  • To obtain advice and legal services in relation to the defence of such proceedings. 

3. Personal information 

Your personal information will only be used as absolutely necessary an may be used for the following purposes: 

  • Delivery of our services 
  • Financial data will be used to process payments and issue refunds 
  • We reserve the right to verify your identity if there is reason to suspect fraud 
  • To recover debts owing to us 
  • Where required by law 

Storing your data 

All medical records are kept in accordance with HCPC requirements. Files are stored in a locked filing cabinet, in a locked office. All data is stored on a laptop, which is password protected and stored in a locked office. All digital files and data transfers are encrypted. 

We will store your data only as long necessary to: 

  • Deliver our services to you 
  • Deal with any queries relating to our services delivered to you 
  • Fulfil the legal requirements regarding medical record keeping 
  • Fulfil the requirements for financial auditing 

UK tax laws requires that we keep your basic personal data (name and contact details) for a minimum of 6 years.  

Medical records must be kept for a minimum of eight years after the date of last treatment. Records for children must be kept until their 26th birthday, or eight years after death (whichever is longer). After this time all of your data will be destroyed. 

Data security 

While we make every effort to ensure the security of your data, sending information via the Internet is not totally secure. On occasion, data sent electronically can be intercepted. You send information entirely at your own risk. You are entirely responsible for the security of and access to your computer and the security of your internet connection. 

Access to information 

In accordance with the General Data Protection Regulations 2018 you have the right to access any information we hold about you. Please contact us to request this. In order to ensure the safety of your data, you will be required to provide evidence of your identity. 

Cookies 

Cookies are plain text files created by your browser when you visit a website.  Cookies ask permission to be stored in your computer’s hard drive. Once permission is granted, cookies help analyse web traffic and manage user sessions and authentications. Cookies may gather information about your web usage, likes and dislikes and your preferences. 

We use anonymous cookies to monitor how visitors use our website. This allows us to assess what areas of the site are popular, where are visitors come from, how often they visit, etc. This allows us to continue to develop and improve our site. 

We occasionally use third party cookies, such as Facebook and Twitter, to assist in the analysis of visits to and performance of our website. However, no personal information is collected or sent to any third party. 

We do not use cookies to track your web usage after you leave our site, nor do we store any personal information.
